This policy explains how TIQI collects and uses personal information.

Who we are

Stephen Harvey trading as TIQI is the data controller for the personal information described in this policy and is the contact for privacy enquiries. ICO registration reference: ZC250038.

The website is a showcase for items available from our physical shop. It does not take online payments or provide customer accounts.

Information we collect

Depending on how you contact or deal with us, we may collect:

  • your name and contact details;
  • the contents of emails, WhatsApp messages, contact-form submissions and other correspondence;
  • details of products you enquire about, reserve, buy, collect or ask us to deliver;
  • transaction, invoice and payment records. Square processes card payments; TIQI does not store your full card details;
  • for clearance enquiries and jobs, the property address, access details, preferred dates, photographs you choose to send, quote and job details, and records of items removed or retained;
  • information needed to arrange collections, deliveries, appointments or services;
  • CCTV images recorded at the TIQI shop; and
  • technical and security information generated when you use the website, such as IP address, browser information, request logs and security events.

Please do not send sensitive personal information unless it is genuinely necessary. If a photograph contains people, documents or other private material, please remove or obscure them before sending it where practical.

How we use information and our lawful bases

We use personal information:

  • to answer enquiries and take steps at your request before entering into a contract;
  • to agree and fulfil purchases, reservations, collections, deliveries, clearance work and other services under a contract;
  • to keep tax, accounting, payment and waste-transfer records where we have a legal obligation;
  • to operate and secure the website, prevent misuse, manage stock accurately and administer the business where this is necessary for our legitimate interests and does not override your rights;
  • to establish, exercise or defend legal claims where necessary; and
  • to send optional marketing only where we have the required consent or another lawful basis. You can opt out at any time.

We do not make decisions about you solely by automated means that have legal or similarly significant effects.

Where information comes from

We usually obtain information directly from you. We may also receive relevant information from Square when it processes a payment, from WhatsApp/Meta when you contact us through WhatsApp, from a delivery provider or contractor involved in an agreed service, from someone authorised to act for you, or from another marketplace or referral source through which you contacted TIQI.

Information needed to deal with you

You are not generally required by law to give TIQI personal information. However, we may be unable to answer an enquiry, reserve or sell an item, process a payment, arrange collection or delivery, provide a quote, or carry out an agreed service if you do not provide the information reasonably needed for that purpose. Information requested for optional communications is voluntary.

CCTV at the shop

TIQI uses clearly signposted CCTV at the shop for the legitimate interests of protecting customers, staff, stock and property and of preventing, detecting and investigating crime and safety incidents. CCTV records images but not audio. Access is restricted to authorised people. Images are normally deleted after 31 days unless they are needed for an incident, complaint, insurance matter, legal claim or law-enforcement request. Relevant footage may be shared with the police, insurers, professional advisers or another person where this is necessary and lawful.

Dashcam in the TIQI van

The van used by TIQI has a dashcam that records video, but not audio, during collections and deliveries. Footage may include identifiable people and vehicle registration numbers. We use it where necessary to investigate road incidents, damage or disputes, and to support insurance or legal claims. Our lawful basis is our legitimate interests in protecting people, the vehicle and the business, subject to your rights. Routine footage is overwritten automatically on a loop, usually after about a week depending on how much the van is used. Relevant clips may be kept longer while an incident, claim or lawful request is dealt with. Access is restricted, and relevant footage may be shared with the police, insurers or professional advisers where necessary and lawful.

Who we share information with

We share personal information only where it is reasonably necessary. Recipients may include:

  • Krystal Hosting, which hosts the website and may process website files, server logs and technical information;
  • Cloudflare, which provides website security, content delivery, DNS and incoming email-routing services;
  • Brevo, which delivers email sent by TIQI. Where a contact form is available, Brevo also processes the details submitted through that form so the enquiry can reach us;
  • WhatsApp/Meta when you choose to contact us through WhatsApp;
  • Square, which processes in-person card payments and associated transaction information;
  • accounting, calendar, backup and business-administration providers;
  • delivery providers, contractors or licensed waste facilities involved in an agreed service, receiving only the information they need;
  • professional advisers, insurers, regulators, law-enforcement bodies or courts where necessary; and
  • a buyer or successor if the business is sold or reorganised, subject to appropriate safeguards.

We do not sell personal information. TIQI does not currently offer browser push notifications.

International transfers

Some service providers, including Cloudflare, Brevo, Meta and Square, may process information outside the UK. Where UK data-protection law requires safeguards, we use providers and arrangements that rely on an adequacy regulation, approved contractual safeguards or another lawful transfer mechanism. Contact us if you would like more information about the safeguards relevant to your information.

How long we keep information

We keep information only for as long as reasonably necessary:

  • ordinary enquiries that do not lead to a transaction are normally deleted within 12 months of the last contact;
  • unsuccessful clearance enquiries are normally deleted within 24 months of the last contact, unless they are needed for a complaint or legal claim;
  • purchase, payment, invoice, completed clearance and other business records are kept for the period required for tax, accounting and legal purposes—normally at least five years after the relevant Self Assessment filing deadline;
  • CCTV images are normally deleted after 31 days unless they are needed for an incident or another lawful reason described above; and
  • security logs and provider-held technical information are retained according to operational need and the provider’s retention controls.

We may retain relevant information for longer where a dispute, legal claim, regulatory requirement or safeguarding concern makes that necessary. Information is deleted or anonymised when it is no longer needed.

Cookies and similar technology

We aim to use only technology needed to operate, secure and deliver the website. We do not currently use Google Analytics, advertising trackers or browser push subscriptions.

The site or its infrastructure may use essential cookies or similar technology for security, load balancing, administrator sessions or a service you request. These do not require consent where the legal exemption applies, but we still explain their purpose. If we introduce optional analytics, marketing or other non-essential technology, we will update this policy and provide the controls required by law before it is used.

Your rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;
  • correct inaccurate or incomplete information;
  • ask us to delete or restrict the use of information;
  • object to processing based on legitimate interests or to direct marketing;
  • withdraw consent where processing relies on consent; and
  • receive information you supplied in a portable format where the right applies.

These rights are not absolute and legal record-keeping duties may require us to retain some information. Contact us using the details above. We may ask for enough information to verify your identity.

Please explain what you believe has gone wrong and how you would like us to resolve it. We will acknowledge a data-protection complaint within 30 days, investigate it without undue delay, keep you informed where appropriate and tell you the outcome.
